# AI agent on WhatsApp: how to give your team an AI employee on WhatsApp

## Key takeaways
- There are two common ways to put an AI agent on WhatsApp. One is a customer-facing chatbot on the WhatsApp Business Platform. The other is an AI employee, a persistent worker with a role, memory and tools, that you and your team message like a colleague. Spinnable is the second.
- Every Spinnable plan includes WhatsApp. By default your workers share one Spinnable-managed WhatsApp Business number, and you switch between them with commands like /firstname . There is nothing to configure.
- If a worker needs its own WhatsApp identity, link a dedicated number. Use a secondary number, never your personal one. With its own number the worker can be messaged directly, can join WhatsApp groups and can start conversations itself. Business plans include a custom email and WhatsApp for each worker.
- The same worker also has its own email address and can join your Slack. Its memory of you and its past work is shared across channels.
- Start with internal use from your own phone, then open WhatsApp to outside contacts. Spinnable's security guide recommends keeping inbound WhatsApp off for new workers until you trust their training.
- Spinnable starts at $50/month. Business comes with a 15-day free trial and no card is needed.

An AI agent on WhatsApp is useful when it does more than answer FAQs. It should take a request from your phone, open the files and tools it needs, and send the finished work back in the same chat. This guide explains how that works with a Spinnable AI worker, how to choose between a shared number and a dedicated number, and how WhatsApp fits alongside Slack and email.

## At a glance: three ways to run an AI agent on WhatsApp

| | Spinnable shared number | Spinnable dedicated number | Chatbot on the WhatsApp Business Platform |
| --- | --- | --- | --- |
| Best for | You and your team messaging your AI workers on the go | A worker that needs its own WhatsApp identity, groups or proactive outreach | High-volume customer service from one business number |
| Setup | None. Add your phone number to your profile and message the number | A secondary number, WhatsApp installed on it, then a QR scan to link it to the worker | A Business Platform account, usually through a provider or the Cloud API |
| How people reach it | `/firstname` or the worker's 4-character WhatsApp ID | Message the number directly, no commands | Message the business number |
| WhatsApp groups | No | Yes | Depends on the provider |
| Files and voice notes | Yes, up to 16 MB per file | Yes, up to 16 MB per file | Depends on the provider |
| Starting conversations | The worker can message an outside contact first, who then just replies | The worker can start conversations from its own number | Outside the 24-hour customer service window, only approved template messages |
| Also works in Slack and email | Yes, same worker | Yes, same worker | Usually a separate tool |

## What "AI agent on WhatsApp" usually means, and what an AI employee adds

Search for an AI agent for WhatsApp and most results are customer-service products. They connect to a WhatsApp Business number, learn from a knowledge base, answer common questions and hand off to a human when they get stuck. Meta now has its own version. On June 3, 2026, it introduced [Meta Business Agent](https://whatsappbusiness.com/blog/introducing-meta-business-agent-ai/?ref=spinnable.ai), which it says answers questions, recommends products, books appointments, qualifies leads and lets the business decide when a team member steps in. Meta says more than one million businesses already use a Business Agent on WhatsApp and Messenger, that getting started is free, and that access will move to paid subscriptions in the coming months.

That is a good fit when the job is answering customers in one business inbox. It is a narrower job than the one most small teams have in mind when they say "an AI employee on WhatsApp." They usually mean something closer to an assistant they can text from a taxi: "Send the updated proposal to Marta, and chase the two invoices from last week." Doing that takes more than a chat reply. The agent needs your email, your files, your CRM and a memory of who Marta is.

A Spinnable AI worker is built for that second case. It is a persistent digital colleague with a role, such as operations manager, sales rep or support agent. It remembers you and its past work, uses the tools you connect, and runs recurring work on a schedule. WhatsApp is one of the ways you reach it. Each worker also has its own persistent sandbox computer that runs Python and JavaScript and keeps files and packages between sessions, plus a cloud browser with live view. So "pull last month's bookings and send me a chart" can come back to your phone as a finished chart, not a list of instructions.

My view, and people will disagree, is that most businesses should put an AI employee on WhatsApp for their own team first and point it at customers second. Internal requests are where you find out how the worker behaves. A mistake in a message to yourself costs nothing.

## How a Spinnable worker works on WhatsApp

### The shared Spinnable number

Every account starts on a Spinnable-managed WhatsApp number shared by all your workers. Spinnable moved it to an official WhatsApp Business number in July 2026. You don't scan a QR code or connect a phone. To start:

1. Add your phone number under **Settings > Profile**, so the worker knows messages from that number come from you.
2. Message the Spinnable WhatsApp number. The easiest way to get it is to ask your worker, in the Spinnable app, to message you on WhatsApp, then save the number.
3. Type `/firstname` to talk to a worker, or use its 4-character WhatsApp ID, such as `/A4B9`. `/list` shows all your workers and their IDs.

Outside contacts can reach a worker on the shared number in two ways. The easiest is for the worker to message them first, after which they can simply reply. Alternatively, they message the number with the worker's ID.

The shared number has two limits. Workers on it can't join WhatsApp groups, and they don't have their own WhatsApp identity. For most internal use, neither matters.

### A dedicated number for one worker

A custom WhatsApp number gives one worker its own phone number. Anyone who messages it talks straight to that worker, with no commands. The worker's name and profile picture replace the account's own, and since July 2026 a worker with its own number can start conversations as well as reply.

The setup takes a few minutes, but the rules matter:

- Use a secondary number, never your personal WhatsApp. The worker takes over the account completely, and you would lose access to your own conversations.
- The number has to receive an SMS or call for WhatsApp's one-time verification. Spinnable's guide recommends a real mobile number from a carrier, because WhatsApp blocks many VoIP and virtual numbers.
- Install WhatsApp or WhatsApp Business on the number, then in the worker's **Details** choose **Link a custom WhatsApp number** and scan the QR code from **Linked Devices**.
- Keep the WhatsApp app installed and the phone online. If it stays disconnected too long, Meta may unlink it and the worker loses WhatsApp until you scan again.

Treat the number's reputation carefully. Meta watches for spam-like behavior, and Spinnable's guidance is practical: save the number as a contact and ask recipients to do the same, keep outbound volume in proportion to replies, avoid near-identical messages across chats, and pause outreach if the number keeps disconnecting. A worker's WhatsApp number is for people who expect to hear from it. It is not a cold-outreach tool.

Custom WhatsApp for each worker is part of the Business plan. Starter includes WhatsApp messaging on the shared number.

### WhatsApp groups

With a dedicated number, you can add a worker to any WhatsApp group. It reads every message and decides for itself whether to reply. Mention it and it answers. Ask something it can help with and it jumps in. If people are chatting among themselves, it stays quiet. Your own account has to be in the group too, each group keeps its own context separate from one-to-one chats, and the worker leaves a group when its manager asks.

Groups are where I'd start small. A worker in a group processes every message, which uses more Work Credits, and group interactions count toward your plan's external communications. A five-person project group or one client group is a better first test than a 200-member community.

### Files, photos and voice notes

Workers send and receive documents, PDFs, images, photo albums and WhatsApp voice notes, up to 16 MB per file. "Check the contract I just sent and tell me if the payment terms changed" works the way you'd expect. So does asking for the result as a file: the worker can create a spreadsheet or PDF and send it back in the chat.

## Where WhatsApp fits next to Slack and email

A Spinnable worker isn't tied to one channel. It can hold conversations on WhatsApp, Slack, email and the Spinnable app at the same time without mixing them up.

- Email: every worker has its own address from the day you hire it. People can write to it directly, forward threads to it and get replies in the thread. On Business you can give it a custom address on your own domain.
- Slack: you invite the worker to your workspace with its email address, as you would a new hire. In direct messages it replies without being mentioned. In channels it answers when it's a member and someone @mentions it. Slack messages don't count toward external communications.
- WhatsApp: quick requests from your phone, field teams, and contacts who will never open an email.

Memory is shared across channels, so the worker knows who you are and how you like things done everywhere. Each conversation thread stays separate, though. If you email a request and later ask about it on WhatsApp, mention the email, or keep one task on one channel. Teams on Microsoft Teams are covered too, through Spinnable's Teams integration. For a fuller picture of rolling workers out to a whole team, see our guide to [AI agents for teams](https://www.spinnable.ai/blog/ai-agents-for-teams?ref=spinnable.ai).

## Practical uses for an AI employee on WhatsApp

- Founder on the move. Voice-note a list of follow-ups after a meeting and get back drafted emails to approve in the same chat.
- Field and site teams. Send a photo of a delivery note or a damaged item, and the worker logs it, updates the sheet and flags the right person in Slack.
- Client groups. A worker with its own number sits in a small client group, answers status questions from your project tool and stays quiet the rest of the time.
- Bookings and front desk. A worker with a dedicated number answers guests or clients who prefer WhatsApp, with clear rules on what it handles alone and what it passes to a person.
- Morning brief. A scheduled task sends you a WhatsApp summary of overnight emails, open invoices or yesterday's numbers before you get to your desk.

## Customer-facing WhatsApp: rules to know

If you run customer messaging on the WhatsApp Business Platform, Meta's [pricing documentation](https://developers.facebook.com/docs/whatsapp/pricing?ref=spinnable.ai) sets out two rules worth knowing. Free-form messages can only be sent inside a 24-hour customer service window, which opens and resets each time the customer messages you. To reach someone outside that window, a business has to use an approved template message. Since July 1, 2025, Meta has charged per delivered message from the business, by message category and market, and messages from users to businesses are free.

Whatever tool you use, the safer pattern is the same. Message people who expect to hear from you, give them a clear way to stop, and have a person approve anything that commits your business to something.

## A safe rollout for an AI agent on WhatsApp

Spinnable's [security guide](https://docs.spinnable.ai/guides/security-best-practices?ref=spinnable.ai) calls external communications the highest-risk area. A message that leaves your company is hard to take back. Its default advice is to disable inbound email and WhatsApp for new workers until you're confident in their training, and to block inbound messages from unknown senders. Here is the order I'd follow:

1. Week 1, you only. Use the shared number from your own phone. Give the worker one job and correct it in plain words.
2. Week 2, your team. Let workspace members message the worker. Under the worker's **Security and privacy** settings, Workspace access lets non-Guest members reach it by email or WhatsApp.
3. Week 3, named outside contacts. Add specific phone numbers as allowed senders. Keep anything external in draft until you've approved a few.
4. Week 4, a dedicated number or group, if you need one.

Use the worker's Oversight section to review every external message it sent on your behalf. If several people direct the worker, name one person who approves what goes out. Our [Progressive Trust playbook](https://www.spinnable.ai/blog/how-to-delegate-to-ai-agents-progressive-trust-playbook?ref=spinnable.ai) and [AI agent security checklist](https://www.spinnable.ai/blog/ai-agent-security-checklist?ref=spinnable.ai) go deeper.

## What it costs

| | Starter | Business |
| --- | --- | --- |
| Price | $50/month | From $150/month |
| AI workers | 2 | 5 included, up to 50 |
| Work Credits/month | 2,000 | 7,000 included, up to 100,000 |
| External communications/month | 150 | 400 |
| WhatsApp | Shared Spinnable number | Custom email and WhatsApp for each worker |

External communications are messages to outside contacts sent from Spinnable's email and WhatsApp. Messages to the worker's manager, co-managers and teammates, Slack messages, and email sent through your own connected Gmail or Outlook don't count. Team members cost nothing extra on either plan. Business includes a 15-day free trial with no card needed. Full details are on the [pricing page](https://www.spinnable.ai/pricing?ref=spinnable.ai) and in the [usage limits](https://docs.spinnable.ai/account/usage-limits?ref=spinnable.ai) docs. Spinnable is GDPR compliant, and SOC 2 Type II is in progress, per its [Trust Center](https://trust.spinnable.ai/?ref=spinnable.ai).

## When another tool is the better fit

If the only job is answering thousands of near-identical customer questions from one official business number, a dedicated customer-messaging platform or Meta Business Agent is built for that volume. A Spinnable worker is the better choice when the requests need judgment, context from your tools and follow-through across WhatsApp, Slack and email. That describes most of the work small teams want help with.

## Frequently asked questions

### Can I put an AI agent on WhatsApp?

Yes. With Spinnable, every worker can be reached on WhatsApp through a shared Spinnable number with no setup. On Business, a worker can also have its own dedicated WhatsApp number.

### Do I need the WhatsApp Business API?

Not to use a Spinnable worker. The shared number is managed by Spinnable, and a dedicated number is linked by scanning a QR code from the WhatsApp or WhatsApp Business app on a secondary phone number.

### Can I use my personal WhatsApp number?

No. When you link a number, the worker takes over that WhatsApp account, including its name, profile picture and incoming messages. Use a secondary number.

### Can an AI agent join WhatsApp groups?

Yes, if the worker has a dedicated number. It reads the group, replies when mentioned or when it can help, and stays quiet otherwise. Workers on the shared number can't join groups.

### Can it understand voice notes and documents?

Yes. Workers receive WhatsApp voice notes, images, PDFs, Word and Excel files and other documents up to 16 MB each, and can send files back.

### What's the difference between an AI employee on WhatsApp and a WhatsApp chatbot?

A chatbot answers in one channel from a script or knowledge base. An AI employee has a role, memory and connected tools, works across WhatsApp, Slack and email, and finishes work such as sending emails, updating records or building reports. Our guide to [AI workers vs AI agents](https://www.spinnable.ai/blog/ai-workers-vs-ai-agents?ref=spinnable.ai) explains the difference.

### How much does an AI agent on WhatsApp cost?

Spinnable starts at $50/month on Starter, which includes WhatsApp on the shared number. Business starts at $150/month, adds custom email and WhatsApp for each worker, and has a 15-day free trial.
